People, Culture, and Office Experience Coordinator

Reporting to the Head of People and Culture, this dynamic role supports both the CMG People & Culture team and Office Services at the CMG Calgary office. As the People, Culture, and Office Experience Coordinator, you will often be the first point of contact for new employees and visitors, playing a crucial role in embodying and promoting our company culture.

Your responsibilities will be pivotal in ensuring a smooth and welcoming experience for all, while upholding our high standards of professionalism and efficiency.

Key Responsibilities

Key HR Responsibilities:

  • Complete new employee onboarding:
    • Prepare and send onboarding packages
    • Initiate onboarding plans
    • Enter new hires into HRIS and payroll systems
    • Enroll new hires in group benefits
    • Ensure all onboarding tasks are completed
  • Monitor the People & Culture email inbox and respond or escalate as needed
  • Prepare employee verification letters
  • Calculate PTO balances for new hires and departing employees
  • Track and file approved time-off requests
  • Update annual holiday and PTO calendar
  • Support recruitment:
    • Post job openings
    • Screen applications
    • Arrange interviews
    • Conduct reference and background checks
    • Process employee referral rewards
  • Prepare offer packages
  • Maintain digital employee files
  • Organize and manage HR folders
  • Track and administer service awards
  • Create and update templates for the People & Culture team
  • Assist with employee offboarding tasks
  • Provide backup coverage for P&C team members as needed
  • Perform other HR duties as assigned

Key Office Services Responsibilities:

    • Provide support, training, and backup coverage for the Receptionist
    • Assist the CMG Calgary Social Committee with event planning and bookings
    • Maintain office space, common areas, supply rooms, and meeting rooms
    • Ensure office setup for new employees
    • Submit and monitor building service requests, escalating recurring issues
    • Liaise with vendors and the landlord for office supplies, furniture, equipment, and maintenance
    • Perform quality checks for cleaning and other services, following up as needed
    • Review and verify facilities or office service-related invoices
    • Coordinate office moves
    • Act as the key contact for sub-lease tenants regarding their leased space
    • Liaise with commercial real estate specialists for leasing vacant space
    • Ensure compliance with Alberta OHS regulations and maintain required Health & Safety standards
    • Assign and train fire wardens for emergency evacuations
    • Ensure availability and maintenance of safety supplies and devices
    • Perform other office services duties as needed

Knowledge, Skills & Experience

  • 3+ years of experience in customer service, HR, payroll, or administration
  • Excellent oral and written communication skills
  • Strong customer service orientation and ability to anticipate needs
  • Attention to detail and confidentiality
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Office and ability to learn new software quickly
  • Ability to thrive in a fast-paced, global, service-oriented environment while handling multiple responsibilities
  • SAP SuccessFactors experience desired, with an expectation and willingness to train as a Subject Matter Expert (SME) for the system.
