Receptionist & Office Administrator

CMG is currently recruiting for a Receptionist & Office Administrator to support a global customer and employee base. We are a worldwide leader in our field, thanks to our great staff who consistently deliver superior technology and unparalleled customer service.

As the first point of contact at CMG’s corporate headquarters in Calgary, you will play a key role in contributing to our success. This role requires adapting to shifting priorities to support the needs of our colleagues and customers. The ideal candidate will demonstrate solid judgement in knowing when to ask for further guidance or support, while always ensuring that customer experience is the top priority.

Key Responsibilities

Reception: 

  • Provide professional and effective service to CMG’s global customers and colleagues in person, by phone and by email 
  • Welcome visitors to the office, answer questions and direct them as appropriate 
  • Provide a variety of office support services, including sorting incoming and outgoing mail, visitor sign-in/sign out 
  • Coordinate shipping and receiving of documents and parcels, locally and worldwide 
  • Monitor and order office supplies and business cards as needed 
  • Support Senior Leadership Team with general administrative duties, calendar management 
  • Support Executive Assistant with projects and events coordination, such as planning and preparation of meetings and conferences, including catering orders 
  • Maintain general cleanliness of common office areas 
  • Maintain company phone and email directory, office floor plans 
  • Responsible for clerical and administrative duties related to the delivery of training courses offered by CMG (customer registrations, preparing training materials, sending correspondence and running reports as needed) 
  • Perform other related duties as required 

 

Office Administration (shared responsibilities between Office Administrator and Receptionist): 

  • Maintain scheduling and records of major facilities-related tasks and services 
  • Liaise with key vendors regarding office equipment and building maintenance 
  • Perform quality checks for cleaning, maintenance and other services, and follow-up as needed 
  • Review and ensure accuracy of facilities-related invoices 
  • Submit, monitor and analyse building service requests, escalate as appropriate for recurring issues 
  • Research, gather quotes, make recommendations and coordinate approvals for various projects as required 
  • Coordinate office moves as needed 
  • Assist Chief Safety Warden with scheduling Safety Warden meetings, evacuation drills and first aid/CPR/AED training 
  • Ensure availability of safety supplies (first aid kits) and maintenance of safety devices (AED) 
  • Other responsibilities as assigned to ensure smooth operation of facilities and service

Knowledge, Skills & Experience

  • Previous work experience in an administrative or reception capacity, in a professional setting
  • A consistently friendly, helpful and professional demeanor with an understanding of the importance of customer service
  • Reliable and self-motivated, able to work with minimal supervision or collaboratively as part of a team
  • Proven software skills with Microsoft Office Suite and aptitude to learn in-house software
  • Strong and clear business communication skills, both verbal and written
  • Ability to prioritize, multi-task and be adaptable
  • Degree or diploma in Business Administration or related discipline is an asset
