Software & Licensing Assistant

Computer Modelling Group Ltd. (CMG) is seeking a detail-oriented and organized Software & Licensing Assistant to join our Calgary team. Reporting to the Head of Legal, this role is responsible for managing software licenses, supporting sales agreements, and maintaining accurate documentation to ensure smooth operations. Success in this role requires a proactive attitude, strong administrative skills, and the ability to work effectively both independently and as part of a team.

Key Responsibilities

Software Agreement, License Management, and Invoicing

  • Generate, review, and execute software licensing agreements using IronClad to ensure compliance with legal standards and company policies.
  • Manage, generate, and issue licenses using SalesForce.
  • Prepare, process and issue software invoices using NetSuite accounting program.
  • Handle deal desk requests involving agreements, licenses, and invoices, prioritizing based on urgency and complexity

 

Client and Team Support

  • Collaborate with clients and Sales team to resolve non-technical software issues.
  • Work closely with global Sales team on deal desk requests.
  • Facilitate cross-functional collaboration with Sales, Product, R&D, Cloud, and Finance teams to ensure seamless contract execution and client support.
  • Support legal counsel with non-standard software contract requests.

 

General Administration

  • Provide administrative support to the Sales and Finance teams.
  • Maintain database records including Salesforce, IronClad and local document folders.

Knowledge, Skills & Experience

  • Proficiency in software and tools, including Microsoft Suite, IronClad (CLM), Salesforce, and NetSuite.
  • Strong organizational and time management skills, with the ability to maintain accuracy in a fast-paced environment.
  • Effective communication skills (both written and verbal) to interact professionally with clients and team members.
  • Demonstrated ability to identify and mitigate potential risks in software agreements.
  • Previous experience in administrative roles, with expertise in prepare contract, license management and billing considered a strong asset.
